Students who are absent from a scheduled examination due to an excuse deemed acceptable by the Institute may apply for a make-up examination. The excuse, along with the required supporting documentation, must be submitted through the Electronic Requests System (ERS) within five working days from the date of the examination. If the excuse is approved by the Institute, the student will be notified of the date and time of the make-up examination.

If the approved excuse covers more than 50% of the total class sessions during the semester, the student may apply to defer the English language course to the following semester through the Deanship of Admission and Registration.

A student's absence must not exceed 25% of the total class sessions in a given semester. If a student exceeds this limit without an official excuse approved by the Institute, they will be barred from the course and assigned a grade of DN for the course in which the excessive absence occurred.

This is not processed automatically, and there is no guarantee that it will be approved in every case, as each application is evaluated individually. However, students are permitted to take the English Placement Test while submitting a course equivalency request to the Deanship of Admission and Registration. If the course is determined to be equivalent in content and learning outcomes, the equivalency process will be completed jointly by the Deanship of Admission and Registration and the English Language Institute through the Course Equivalency Unit.

Students may visit the Academic Advising Unit to obtain academic guidance and assistance in identifying appropriate solutions to their academic concerns.

The schedule for regular examinations is prepared by the Deanship of Admission and Registration in coordination with the colleges. The midterm and final examination schedule is published on the Deanship's website, after which the dates for make-up examinations are determined.

The Institute accepts the following as valid official excuses: Medical leave issued by a government hospital: A formal medical report must be submitted, clearly stating the student's medical condition and the approved period of medical leave. Medical leave issued by a private hospital or medical clinic: Only a one-day medical leave is accepted. Medical leave exceeding one day must be officially endorsed by the relevant Health Affairs authority. Proof of attendance at a government agency: Official documentation confirming the student's attendance at the government agency must be provided. Letters confirming participation in sports events: An official letter, certified by the organization under which the student participated, must be submitted. The letter must specify the nature and date of the participation. Traffic accident reports: An official traffic accident report indicating the date and time of the incident must be submitted.

Course equivalency requests are accepted through the Electronic Requests System (ERS) from the first day of each academic semester until at least one week before the start of the final examinations.

Yes. The Institute provides a range of support services for students with disabilities. These services include accessible facilities and designated areas within the building to facilitate mobility, placement in ground-floor classes where appropriate, and the assignment of a dedicated academic support coordinator to assist with their academic needs. During examinations, accommodations are also available, such as reading examination questions aloud and providing physical assistance with the use of a computer when required.

The English Placement Test is administered only during the University's student admission period. Students are not eligible to take the Placement Test if they are already enrolled in the English language course or if a course grade has been recorded in the University's academic system. In addition, students who have previously taken the Placement Test are not permitted to retake it.

Yes. English language courses may be exempted in accordance with the policies approved by the English Language Institute, provided that the student submits one of the recognized standardized test certificates, as specified in the Institute's Exemption Policy. The certificate must have been obtained within the past two years. If the student achieves the required score, they must submit an electronic request through the Electronic Requests System (ERS). The certificate must be uploaded as a PDF file and comply with the file size requirements specified in the system. For TOEFL certificate holders, the student must provide the correct username and password in the Subject Content field of the request to enable verification of the TOEFL score. This requirement does not apply to IELTS certificates.
