Guidelines for Writing Institutional Affiliation:

• It is not allowed to use abbreviations for department names, college names, or the university name in the institutional affiliation. Abbreviations may only be used in footnotes or in the Acknowledgment section, provided that the abbreviation is officially approved.
• The affiliation must be written in English when publishing in international scientific journals or local journals that publish in English.
• The affiliation must be written in English when publishing in Arabic journals that publish researcher information and the abstract in English.
• If a faculty member or a student has more than one internal affiliation, the priority is: the academic department first, then the college to which the researcher belongs, followed by the research center.
• If a faculty member or postgraduate student has an institutional affiliation with King Abdulaziz University in addition to an external affiliation, the first affiliation must be King Abdulaziz University, to ensure that the university’s primary institutional affiliation is documented. In addition, the regulations and policies approved by the Deanship of Scientific Research must be followed when adding the second (external) affiliation, in order to ensure compliance with institutional policy governing scientific research and academic affiliations.
• A student who is funded by an external scholarship may add the scholarship sponsor as a second affiliation, provided that the first affiliation is King Abdulaziz University.
• The official approved institutional affiliation wording of the university must be used, according to the following table:

• University researchers must create researcher identifiers such as (ORCID) or (ResearcherID in WOS), and must ensure that the university name is written in its official approved form when creating new accounts or updating existing accounts.

Institutional Affiliation Formats:

1. The standard institutional affiliation format for King Abdulaziz University researchers (faculty members / postgraduate students) who have only one affiliation:
   • The full academic department name and the associated college name must be written clearly, and the college must be referred to in English using the term “Faculty.”
   • The university name must be written in full (“King Abdulaziz University”), followed by its location, i.e. “Jeddah, Saudi Arabia.”
   • Research institutes are treated the same as academic colleges; therefore, they must be mentioned using the same structure when writing the institutional affiliation.
   • Additional contact details (if needed) may be provided, such as the university institutional email (@kau.edu.sa / @stu.kau.edu.sa) or an internal phone number to facilitate academic communication.
   • Example:
     First Name, Middle Name, Last Name

2. Institutional affiliation for researchers affiliated with research centers:
   • The full official name of the research center must be written to ensure clarity and accuracy of the institutional affiliation.
   • Using abbreviations in the research center name is not allowed; it must be written exactly as officially approved.
   • This is then followed by the full university name (“King Abdulaziz University”), along with the city and country (“Jeddah, Saudi Arabia”).
   • Example:
     First Name, Middle Name, Last Name

3. Institutional affiliation for researchers affiliated with research groups:
   • If the researcher is affiliated with a research group approved by the Deanship of Scientific Research, the full name of the research group must be written without abbreviation.
   • The affiliation begins with the research group name, followed by the full university name (“King Abdulaziz University”), along with the city and country (“Jeddah, Saudi Arabia”).
   • Example:
     First Name, Middle Name, Last Name

     Renewable Energy Research Group, King Abdulaziz University, Jeddah, Saudi Arabia
4. Institutional affiliation for researchers affiliated with endowed research chairs:
   • If the researcher is affiliated with an officially approved endowed research chair at the university, the full chair name must be written without abbreviation.
   • The chair affiliation must be written first.
   • If the chair is named after a sponsoring figure/entity, the name of that figure/entity must appear first, followed by the name of the chair.
   • After that, the full university name (“King Abdulaziz University”) must be written, along with the city and country (“Jeddah, Saudi Arabia”).
   • Example (in case of a named/endowed chair):
     First Name, Middle Name, Last Name

     Prince Nayef bin Abdulaziz Chair in Artificial Intelligence, King Abdulaziz University, Jeddah, Saudi Arabia
   • Example (in case of a generic chair without a named sponsor):

5. Institutional affiliation for researchers in units or laboratories:
   • When the research is associated with a specific unit or laboratory belonging to a research center, the institutional affiliation must clearly reflect that relationship.
   • The unit or laboratory name must be written first, followed by the name of the research center or college.
   • This is then followed by the full university name (“King Abdulaziz University”), along with the city and country (“Jeddah, Saudi Arabia”).
   • Example:
     First Name, Middle Name, Last Name

6. Institutional affiliation for patents: <
   • When registering a patent that is fully or partially owned by a lead researcher from King Abdulaziz University, the first affiliation must clearly state the university’s official name. This ensures clarity of ownership and proper institutional recognition in patent databases and legal documentation.
   • The full official name of the university (“King Abdulaziz University”) must be used, without any abbreviations.
   • The city and country (“Jeddah, Saudi Arabia”) must always be included to ensure consistency with international patent standards.

7. Institutional affiliation for researchers with funded research projects:
   • A university-affiliated researcher must mention only the university name when publishing research funded by the university or research that used university-provided resources and tools.
   • Adding a second affiliation in the same publication is allowed in the following cases:
     1. Visiting researchers
     2. Distinguished scientists contracted by the university
     3. Researchers on academic assignments
     4. Collaborative and partnership projects established under signed agreements
     5. Honorary memberships or Visiting Professor roles
   • Internal affiliations must be ordered according to the following priority:
     1. Academic department and college
     2. Research center
     3. Research group
     4. Lab / laboratory
   • The institutional affiliation must be written in full without abbreviations, followed by the university name (“King Abdulaziz University”), and then the city and country (“Jeddah, Saudi Arabia”).
   • Example:

   • Internal affiliations must be ordered according to the following priority:
     1. Academic department and college
     2. Research center
     3. Research group
     4. Lab / laboratory
   • The institutional affiliation must be written in full without abbreviations, followed by the university name (“King Abdulaziz University”), and then the city and country (“Jeddah, Saudi Arabia”).
   • Example:
